Why cold email needs inbox rotation

A single mailbox can only send a few dozen cold emails a day before deliverability starts to suffer. Push harder and you risk the whole domain. The standard answer is to spread volume across several mailboxes, often on secondary domains, so each one sends a sustainable amount.

Doing that by hand means splitting lists, duplicating campaigns per mailbox and keeping track of who emailed whom. ReachPods does it inside one campaign: choose which mailboxes it may use, and the rotation engine decides, lead by lead, which mailbox sends the first email.

Rotation runs on the same safety engine as every action. Each mailbox has its own daily limit, warm-up, working hours, timezone and random pacing, and a mailbox that’s busy, outside its hours, out of budget or disconnected is simply skipped for now.

When a new lead needs its first email, the rotation skips mailboxes outside their working hours, then runs a weighted round-robin across mailboxes with budget left today. Give your warmest mailbox weight 2 and a fresh one weight 1, and the warm one sends twice the volume.

If a mailbox is pacing between sends, the lead books a slot in its queue instead of every lead hammering the same mailbox at once. Mailboxes in warm-up only offer their ramped-up budget.

Sticky threads

One mailbox per lead, so every follow-up lands in the same thread

Once a lead has a mailbox, every later email step uses it. The first email and each follow-up come from the same person, as replies in the same thread, so the prospect sees one conversation.

Sticky senders work per channel: the same lead can have one mailbox for email and one LinkedIn account for LinkedIn steps, both kept for the whole campaign.

Disconnected mailboxes don’t lose leads

When a mailbox needs reconnecting, its leads are parked, not failed. Reconnect through the hosted sign-in and they resume gradually. Limits, warm-up progress, schedule and timezone are kept.

If a mailbox stays down past the 72-hour grace period, is deleted or removed from the campaign, its leads are reassigned to a healthy mailbox and a fresh thread starts cleanly.

Daily limits, pacing and timezones for every mailbox in the pool

Each mailbox defaults to 50 emails a day with a random 60 to 240 seconds between sends, only inside its working hours. Budgets reset at each mailbox’s local midnight, so a mailbox in New York and one in Berlin each get a full local day.

Campaigns also have a cap on new leads per day, so a fresh list of 2,000 leads doesn’t all start on day one.
